Role Overview

We are seeking a highly organised and customer-focused Sales & Customer Onboarding Coordinator to support the day-to-day activities of the sales team and ensure a seamless customer journey from vehicle delivery to account implementation.

The successful candidate will act as a key link between Sales, Accounts, Driver Support and Operations teams, ensuring new customers are onboarded efficiently and receive an exceptional experience from day one. The role will also own our ancillary products, supports international tender responses, and helps deliver marketing activity to prospective and existing customers.

Key Roles and Responsibilities

1.Sales Support

  • Manage vehicle deliveries and collections in coordination with customers, drivers, dealers, fit out & branding suppliers and sales team members.
  • Maintain accurate order and delivery records in our systems and flag delays or risks early.
  • Produce regular sales reporting: order pipeline, deliveries, lead times and other requirements set by the Sales Director.
  • Provide administrative and operational support to the sales team in managing new and existing accounts.

2.Customer Onboarding

  • Own the onboarding process for every new customer, coordinating Sales, Finance & Accounts and Driver Support.
  • Gather all required information at the start: company details, contacts, invoicing and payment details, credit application documents, driver lists and service requirements.
  • Check that information is complete before it passes to each team, so the credit case, funding and contract can move without rework.
  • Confirm customer accounts are set up correctly on day one: billing, driver records, ancillary products and reporting preferences.
  • Maintain and improve the onboarding checklist, and track each new account until it is fully live.
  • Act as the first point of contact for new customers during their first months with us.

3.Ancillary products

  • Administer all fuel card and toll tag products: applications, issuing, cancellations, replacements, limits and driver/vehicle changes.
  • Reconcile ancillary product charges with Finance & Accounts and resolve queries or discrepancies.
  • Manage relationships with fuel card and toll tag providers.
  • Identify customers who would benefit from ancillary products and pass opportunities to account managers.

4. International tenders

  • Support responses to international tenders, including those received through our OneNet partnership with Alphabet International.
  • Collect pricing, fleet data, service information and compliance documents from across the business.
  • Manage tender deadlines, keep a library of standard responses and documents, and make sure submissions are complete and on time.

5. Marketing and client presentations

  • Plan, build and send email campaigns to prospective and existing customers, working with the Sales & Marketing team.
  • Maintain customer and prospect contact lists in line with GDPR and consent requirements.
  • Track campaign results (opens, clicks, enquiries) and report on what works.
  • Help prepare client presentations, proposals and account reviews: slides, fleet data, cost analysis and supporting material.
  • Support events, customer communications and other marketing activity as needed.

Qualifications & Skills

  • 2+ years’ experience in a sales support, administration, customer service, or coordination role.
  • Experience within vehicle leasing, fleet management, automotive, or financial services.
  • CRM system experience.
  • Marketing or customer onboarding experience.
  • Strong organisational and communication skills.
  • Excellent attention to detail and ability to manage multiple tasks.
  • Proficiency in Microsoft Excel, PowerPoint, and Outlook.
  • Customer-focused with a proactive approach to problem-solving.
